What Data Is Used and Why
When Assess grades a submission, it uses the following information:
- The student’s submitted work — this may be typed text, a PDF, or a photo of handwriting, depending on how the student submitted in Schoology.
- The assignment prompt and any rubric or criteria you have attached.
This information is sent to an AI model through your school’s configured service in order to generate a score suggestion and feedback draft. Nothing is added to or changed in Schoology until you approve a grade.
Where the Data Goes and How Long It Is Stored
Student work is processed by an AI model through the service your school or district administrator has configured. Files are stored only as needed for grading, and student work artifacts are automatically deleted on a rolling schedule. For the specific retention window, sub-processors, and deletion practices, see the DoubleXL Privacy Policy. For questions specific to your school’s agreement, contact your administrator.
FERPA Basics for Teachers
FERPA (the Family Educational Rights and Privacy Act) protects student education records. As a teacher, your obligations stay the same whether you are grading by hand or using an AI-assisted tool:
- Share student records only with those who have a legitimate educational need.
- Do not discuss or display a student’s work or grade where others can see it without authorization.
- Follow your school’s policy on any tool that handles student data.
Practical Tips
- Do not add unnecessary personal details about a student in the feedback field. Keep feedback focused on the work.
- Use Assess only for students in your own classes.
- If you are unsure whether using a particular submission type is appropriate, ask your administrator before proceeding.
Questions from Families
If a family asks about how their child’s work is used or stored by this tool, direct them to the school administration. The school handles FERPA requests and can provide information consistent with its policies and agreements.
